We currently have an opening in our organization for someone with event planning and coordination experience. This is a dual role of event coordination within our Sales and Marketing department and a Personal Assistant role to our CEO and CTO. If you have excellent organizational skills and the ability to multitask and coordinate multiple initiatives at one time; consider this opportunity.

Duties:

The role of Event Coordinator at SSI holds the ultimate responsibility for ensuring the successful organization of multiple annual events all around the world. Coordinating our internal Marketing and PR resources as well as the activities of SSI representatives abroad is essential to this success. In addition to event coordination this role is responsible for assisting our CEO and CTO with numerous administrative functions.

As the Event Coordinator/PA you will be responsible for:

  • Booking, organizing and coordinating trade shows, seminars, conferences including pre and post show activities
  • Assisting with the organization and facilitation of the SSI annual Partner Conference
  • Tracking and aligning the events budget
  • Assisting with the organization and implementation of product launch activities
  • Updating CRM contact information
  • Directing the distribution of show materials
  • Assisting with development of customer satisfaction surveys
  • Assisting with travel arrangements for other departments as required
  • Providing on-going development and maintenance of departmental documentation
  • Assisting the CEO and CTO with all travel booking arrangements
  • Coordinating all aspects of travel schedule for CTO and CEO
  • Assist CEO and CTO with correspondence; scheduling appointments and meetings; resolving information requests; running errands; purchasing supplies;
  • Providing temporary Sales Administration back-up as and when needed for vacation and leave

Qualifications:

  • a minimum of 2 years’ experience in an event coordination role
  • post-secondary education in an accredited communications or business program or equivalent work experience
  • solid working knowledge of Word, PowerPoint, Excel, SharePoint and Constant Contact as well as experience with Event Coordination applications such as CVent software
  • strong skills and background in project management will be an asset
