Job Summary: 

BCcampus is seeking an energetic, detail oriented, and creative problem solver to join our team. As the Coordinator, Administration and Finance you will: 

  • Manage processes for contracts, invoices, purchase orders, offers of employment, secondment agreements and other business documents
  • Develop and maintain a well-organized information and filing system that permits rapid retrieval of correspondence, organizational records, financial data and documentation related to operational processes
  • Act as the primary liaison with the Finance, Procurement Services and Human Resources departments with our administrative host organization (Simon Fraser University)
  • Act as liaison between administrative and maintenance staff at both BCcampus locations, and landlords, for matters related to management of lease documents, maintenance requirements and leasehold improvements 
  • Organize meetings involving multiple senior executives from post-secondary institutions and BCcampus senior staff, including the secretariat function for governance bodies of BCcampus
  • Complete special organizational and research projects as directed
  • Continually expand and update your professional knowledge in order to foster 
  • innovation and improve productivity
  • Be a proactive in fostering a positive working culture 

Qualifications and Skills

Minimum for This Position

  • Bachelor’s degree or an equivalent combination of education and experience
  • Minimum of five years relevant experience working with an executive office team
  • Extremely detail-oriented
  • Proven ability to effectively prioritize workflow
  • Superior skills with MS Excel, Word, as well as financial applications such as QuickBooks
  • Technically proficient in the use of communication tools such as Skype
  • Excellent interpersonal, written and oral communication skills
  • Experience preparing agendas, minutes, letters and memos in an error-free manner
  • Ability to exercise good judgement, show initiative and be proactive
  • High standards of ethics and ability to handle sensitive information in a confidential manner 

Desirable (Considered an Asset)

  • Experience with post secondary institutions
  • Experience with government 
  • Ability to be flexible in terms of work hours, as required
  • Ability to work both independently and as a team member
  • Ability to facilitate the work of others
