Job Summary: 

Our IT Consulting Company is searching for a permanent Office Administrative Assistant to join our Victoria head office. This role comes with benefits, 3 weeks’ vacation and competitive compensation.

Responsibilities and Duties:

  • Serving as the primary receptionist (answering and directing incoming calls and greeting, directing, and assisting visitors and staff)
  • Process daily outgoing mail and retrieve incoming mail including opening, sorting, sending and receiving/sending couriers
  • Ordering, picking up, stocking, and distributing office supplies;
  • Responsible for organizing events, including researching event venues, coordinating activities and arranging food and supplies.
  • Responsible for general meeting support: including booking, arranging and maintaining office space schedules and meeting rooms
  • Maintaining general office & kitchen tidiness
  • Providing administrative support to other departments including Finance, Marketing, Business Development and HR as required
  • Assisting in the booking of travel arrangements as required
  • Assisting with filing, scanning, Microsoft Office applications and other aspects of administration.
  • Setting up office/space and conducting general orientation for new hires
  • Ensuring smooth operation of the facility and act as Fire Warden for the company
  • On call support (24/7) for business emergencies/office security issues
  • Other related duties as required

Experience and Skills:

  • Minimum of 2 years’ experience in office administration
  • Completion of an office administration program is preferred
  • Experience using Microsoft office skills (MS Word, Excel and PowerPoint)
  • Excellent oral and written communication skills
  • Detail oriented and works with a high degree of accuracy
  • Highly organized and flexible
  • Ability to multitask and meet changing deadlines
  • Must be self-directed and able to complete projects with limited supervision
  • Maintains confidentiality
  • Holds a valid driver’s license and has easy access to a vehicle
