Job Summary: 

The Events Coordinator is responsible for all aspects of VIATEC event activities and external events held at Fort Tectoria.  The Coordinator ensures that the organization successfully offers consistent high quality events in relation to both VIATeC and the Greater Victoria technology sector.

The successful candidate will be highly motivated, detail oriented and able to work with minimal supervision under tight deadlines. Being part of an energetic team member is a MUST and communication is key.

If you can thrive while handling dynamic, tight deadlines and thinking outside the box then this position is for you. Especially if you can come up with phrases more "out of the box" than lamely restating "out of the box" every time you want somebody to think different.


  • Serve as the Events Project Coordinator working closely with the Executive Director on all VIATeC events including but not exclusive to:
    • VIATEC Technology Awards
    • Discover Tectoria
    • Experience Tectoria
    • Tectoria Meetups
    • VIATEC Food Bank Challenge
    • Educational Seminars and Workshops
  • Responsible for achieving event attendance, awareness and sponsorships objectives.
  • Work with other staff to coordinate event efforts.
  • Planning and event execution including but not exclusive to; procurement, liaison for venues to discuss timing, setup, catering, AV, entertainment etc.
  • Post all events on the VIATEC website and liaison with Marketing Manager to ensure all social media outlets are covered.
  • Responsible for all external event inquiries and bookings for Fort Tectoria from inception to completion. Confirm bookings, cost and ensure invoicing is paid through A/R.
  • Liaison with members and provide sufficient customer service.
  • Represent the organization and its network in external events and activities as needed.
  • Perform other duties and responsibilities as requested with a sense of humor and team spirit.


  • Strong management and communication skills to drive and coordinate the team during events.
  • Demonstrated history of being results-oriented, working under pressure, and balancing and managing multiple priorities.
  • Strong project management skills
  • Event coordination experience
  • Excellent writing skills, including proofreading and editing abilities
  • Strong communication and outreach skills
  • Highly creative and entrepreneurial in developing approaches to reach target audiences
  • Must have excellent organizational and critical thinking skills.
  • Experience with Powerpoint, Google docs, Gmail, Salesforce or equivalent CRM software
  • Comfortable working with a Mac osx

Nice to have:

  • Experience with HTML and/or source code
  • Knowledge of Supersass and/or Book King software
  • At least 1 year experience in Event coordination or management
  • Post- Secondary education with a related field
