Job Summary: 

UVic Industry Partnerships Inc. is a wholly-owned subsidiary of the University of Victoria that supports intellectual property (IP) management and commercialization activities at the university. Reporting to the President of the corporation, and working closely with staff at the Research Partnerships and Knowledge Mobilization unit, the Business and Patent Manager performs the following:

Financial Management

  • Tracks all UIP spending on IP and spin-off companies and reports on balances available to maintain services
  • Maintains financial records in database tied to individual projects, with accurate information regarding historical expenditures, so that business decisions can be made on a project-by-project basis
  • Undertakes planning and budgeting to estimate upcoming patent expenditures and spin-off company expenses
  • Works with UVic financial accountants and auditors to prepare financial statements and asset valuations
  • Manages annual financial audit
  • Presents financial reports to UIP Board of Directors

Patent Management

  • Develops and implements patent budget and strategies (~100 active patents)
  • Dockets patent activity and tracks financials
  • Manages communications with patent attorneys
  • Manages patent maintenance fees


  • Tracks and monitors all licenses and agreements
  • Manages licensee compliance, ensuring licensed IP and/or associated spin-off companies are in good standing and accounted as per agreement terms
  • Manages invoicing, including  receipt and disbursement of revenues to partners and inventors
  • Manages communications with partners, licensees, and external counsel
  • Manages matters related to withholding taxes, associated tax matters in foreign jurisdictions, and GST/HST

Spin-off Company Management

  • Keeps track of UVic spin-off companies for reporting purposes (~20 companies)
  • Divests UVic/UIP of its shareholdings through share sale and other business transactions

Database and Records Management

  • Maintains UIP records in database
  • Ensures compliance of staff members as it relates to IP-related records
  • Maintains electronic and paper files, including archived files


  • Prepares reports to a variety of internal and external groups, including the Association of University Technology Managers Annual Licensing Survey, Statistics Canada and UVic management and executive

Corporate Governance

  • Liaises with the secretary of the UIP Board of Directors to schedule meetings and prepare board meeting agendas
  • Works closely with the UIP President to prepare board meeting materials

Required Skills

  • Demonstrated skills and experience to effectively perform the duties as described above, particularly in financial management
  • Previous employment as a finance, operations or business manager or equivalent
  • Highly responsible, tactful and thoroughly discreet  in dealing with confidential information
  • Ability to multi-task and to function independently and in teams
  • Project management skills
  • Flexibility as it relates to shifting job duties and responsibilities
  • Excellent interpersonal, oral and written communication skills

Preferred Skills

  • Knowledge of and familiarity with UVic systems, policies and procedures
  • Previous work experience in accounting or finance
  • Previous work experience in business development or industry liaison
  • Experience in dealing with government and other public sector institutions and agencies

Educational Requirements

  • Degree, diploma, or certification in business, business administration, accounting, project management or a relevant field
  • Consideration will also be given to applicants with an equivalent combination of education and experience

Citizenship: Applicants must be Canadian citizens or have permanent residency status

Term: This is a term position with a benefits package. The position will be reviewed on an annual basis and be subject to performance.
